2015 Annual General Meeting

The Oxford University Malaysia Club (OUMC) convened its Annual General Meeting this year on Saturday March 7th in Lecture Room B at Worcester College, University of Oxford. The AGM was chaired by outgoing secretary Leon and attended by members of the club.

After noting that no new motions were proposed for the AGM, Leon proceeded to deliver the annual report of the club. It was satisfactorily reported that there has been a fair spread of events organised by the outgoing committee over the three terms and summer vacation, where sponsors, members and external speakers were all actively engaged. Events such as Perspectives – Summer School and Science@Malaysia Conference were concluded with great success.

Next, Leon presented on the compliance report of the Club. OUMC was administered in accordance with University regulations by adopting the new Constitution last year. Freedom of speech was well protected and exercised within the Club while safety matters were fully adhered to. Leon observed that the Club had complied with Clause 2 of the Constitution.

The financial report was then presented by proxy Treasurer and former treasurer (2013/14) Pau Ching. Pau Ching went through every income and expenditure of the club and applauded the committee for managing the finances well. She observed that the committee was fiscally responsible and generated a healthy net income for the club. She also noted the committee’s efforts to recruit new postgraduate members and encouraged future postgraduate students to participate actively in the club events as well.

The AGM proceeded with outgoing President Firdaus delivering his farewell address. Firdaus shared with everyone present his experiences of working with the committee. Together they organised a total of 22 events during their term, which is more than the previous committee, indicating their dedication to the Club. He thanked his committee for the hard effort that they put in into the Club. Firdaus also delivered his words of wisdom to the incoming committee, advising them to work as a team and to remain respectful of each other in order to deliver better results for the Club. Finally he wished the new committee all the best and hoped that things will continue to be more fun this coming year.

Lastly, Leon as acting Returning Officer chaired the elections section of the meeting where the 2015/16 committee was elected. The results are as follows:

  • President: Henry Lee Min Rong, MEng Engineering Science, Jesus College
  • Vice President: Brian Khor Jia Junn, MPhys Physics, University College
  • Secretary: Chew Khai Yen, BA Philosophy, Politics and Economics, Hertford College
  • Treasurer: Esther Ng Kah Wei, BA Economics and Management, Trinity College
  • Welfare Director: Ang Hui Min, MMaths Mathematics, Balliol College

Members present at the AGM raised several issues regarding the electoral procedure. It was pointed out that the hustings video were too long and hence discouraged members from watching them. There were also confusion about the secret code as it was not clearly communicated to the members. Hence it is concluded that the Club will revert to paper ballot casting for future elections while brief snippets and summaries of the hustings will be made available for members to view.

With that the AGM concluded and those present stayed for refreshment and conversation. The Club would like to congratulate the 2015/16 committee and wish them the best of luck. We look forward to a great and eventful year ahead.
